How to Share Documents in Microsoft OneDrive

Sharing documents in OneDrive is straightforward and allows you to control permissions over who can access and edit the files. Here’s how to share documents in OneDrive:

1. Share via OneDrive Web Interface:

  • Step 1: Log into your OneDrive account (https://onedrive.live.com) with your Microsoft credentials.
  • Step 2: Locate the document you want to share. Right-click the file or folder, and choose Share from the dropdown menu.
  • Step 3: A sharing window will pop up with different options.
    • Add people: Enter the email addresses of the people you want to share the file with.
    • Set permissions: You can choose whether the recipients can edit or view the document. Click on the settings icon (a pencil or eye icon) to adjust these options.
    • Link sharing options: Choose whether only specific people, anyone with the link, or people in your organization can access the file.
  • Step 4: Click Send to share the file.

2. Share via OneDrive Desktop App:

  • Step 1: Open OneDrive on your computer.
  • Step 2: Right-click the document or folder you want to share and select Share.
  • Step 3: A window will appear where you can set permissions and add people’s email addresses to share with.
  • Step 4: Once set, click Send or Copy Link to share the document.

3. Share a Document via Link:

  • Step 1: Right-click on the document and select Share.
  • Step 2: In the sharing window, choose Copy link.
  • Step 3: You can customize the link permissions (e.g., view only or edit) and set expiration dates or passwords for the link if needed.
  • Step 4: Click Copy to create the link and share it through email, chat, or any other communication platform.

4. Manage Shared Files:

  • Go to the Shared section on the left side of OneDrive’s web interface to manage files you’ve shared or that have been shared with you.
  • You can update permissions, stop sharing, or send a new link from here.
